How to Find a Good NDIS Plan Manager: Questions to Ask
Because all plan managers receive the same NDIA-set rate of $104.45/month, your choice isn't about price โ it's about service quality. But plan management is a behind-the-scenes service. How do you evaluate something you don't directly see? The answer: ask the right questions before you sign.

1. "How quickly do you pay provider invoices?"
This is the single most important question. If your plan manager takes weeks to pay invoices, your providers may pause or stop services. The best plan managers pay within 2โ3 business days. Ask for their standard turnaround time and โ crucially โ whether they have a track record of meeting it. Vague answers like "we process invoices as they come in" aren't good enough. Ask for a specific number.
2. "What do your monthly statements look like?"
Ask to see a sample statement (with personal details removed). A good statement should clearly show: every claim made that month, the remaining balance in each support category, your spending pace (are you ahead of or behind your plan schedule?), and any anomalies or flags. If the sample looks confusing or overly technical, that's a warning sign โ you should be able to understand your own finances at a glance.
3. "How do you communicate with participants?"
This varies enormously between providers. Some are phone-only during business hours. Others offer email, text, and even messaging apps. Ask:
- Can I text or email you, or do I have to call?
- What are your response times โ same day, next day, several days?
- Do I have a named contact person, or am I dealing with a rotating call centre?
- Can I reach you after hours if something urgent comes up?
4. "Do you charge anything beyond the NDIA rate?"
As covered in our fees explainer, reputable plan managers charge exactly the NDIA rate. Ask pointedly: are there setup fees, establishment costs, minimum commitment periods, cancellation fees, or charges for monthly statements? Any "yes" should give you pause.
5. "How do you handle provider overcharging or disputes?"
A plan manager should actively check invoices against NDIS price limits and your plan's stated supports. Ask what happens when they spot a problem โ do they call you? Do they query the provider directly? Do they simply reject the invoice? You want a plan manager who is proactive about protecting your funding.
6. "What happens if I want to switch plan managers?"
This is a revealing question. A confident, ethical plan manager will tell you that you're free to leave at any time and explain the simple process. (See our guide to switching.) If they hedge, mention minimum terms, or seem uncomfortable with the question, move on.
๐ Red flags to watch for: Pressure to sign immediately, requiring you to sign up before you've met your planning team, refusing to provide a sample statement, mentioning extra fees, or being vague about payment timeframes. Trust your instincts โ if something feels off, it probably is.

Beyond the checklist, great plan managers share certain traits. They're proactive โ they alert you to budget issues before they become crises, not after. They're accessible โ you can reach a real person when you need to. They're transparent โ their statements are clear, their processes are explained, and there are no surprises. And they respect your autonomy โ they remember that it's your plan, your funding, and your life.

You can also ask your support coordinator, LAC, or other participants for recommendations. Personal referrals are often the most reliable guide.
